Overview and scope

This Privacy Policy explains how D Zone Digital, Ltd (“D Zone Digital,” “we,” “us,” or “our”) handles personal information in connection with our website, dashboard, APIs, distribution tools, royalty-accounting services, payment features, client portals, and related support services (collectively, the “Services”).

This Policy applies to visitors, account owners, team members, label and artist users, payees, and other people whose information is processed through the Services. Customers may also upload information about artists, collaborators, rights holders, and payees. In those situations, the customer is responsible for having the authority to provide that information to us.

02

Information we collect

Information you provide

  • Account and identity data: name, business name, role, username, contact details, and account credentials.
  • Business and catalog data: artist and label information, release metadata, audio and artwork, identifiers, rights, contracts, ownership splits, and territories.
  • Financial and tax data: payout details, balances, invoices, transaction records, tax information, and identity-verification information required by payment or compliance providers.
  • Communications: support requests, onboarding information, feedback, and other messages sent to us.

Information collected automatically

  • Device, browser, IP address, operating system, language, and approximate location information.
  • Log and usage data, including pages visited, actions taken, feature usage, API activity, timestamps, and diagnostic events.
  • Cookies and similar technologies used for authentication, preferences, security, analytics, and service performance.

Information from other sources

We may receive information from customers that invite you to a portal, digital service providers, payment and identity-verification providers, analytics providers, and integration partners you authorize.

03

How we use information

We use personal information to:

  • Create, secure, administer, and support accounts and client portals.
  • Process catalog deliveries, metadata, rights, royalty statements, balances, and payouts.
  • Operate APIs, integrations, analytics, reporting, and white-label functionality.
  • Authenticate users, prevent fraud, investigate abuse, and protect the Services.
  • Communicate about service updates, transactions, support, billing, and important legal notices.
  • Measure performance, troubleshoot issues, and improve products and user experience.
  • Comply with legal, tax, accounting, sanctions, and regulatory obligations.

Where applicable law requires a legal basis, we process information to perform our contract, pursue legitimate business interests, comply with legal obligations, protect vital interests, or based on consent where requested.

04

How information is shared

We do not sell personal information. We may share it only as reasonably necessary with:

  • Customers and authorized users: according to account roles, portal permissions, and the customer's instructions.
  • Digital platforms and partners: to deliver catalog content, manage rights, obtain reports, and support distribution operations.
  • Service providers: hosting, storage, analytics, communications, security, customer support, payments, tax, and identity verification providers.
  • Professional advisers: auditors, accountants, insurers, and legal advisers under appropriate confidentiality obligations.
  • Authorities and other parties: when required by law or reasonably necessary to protect rights, safety, property, users, or the Services.
  • Corporate transactions: in connection with a merger, financing, acquisition, reorganization, or sale of all or part of our business.
05

Data retention and security

We retain information for as long as needed to provide the Services, maintain business and transaction records, resolve disputes, enforce agreements, and meet legal, accounting, tax, and compliance requirements. Retention periods vary based on the type of information and the reason it is processed.

We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. No internet service can guarantee absolute security, so account owners should use strong credentials, restrict permissions, and notify us promptly of suspected unauthorized access.

06

Your choices and privacy rights

Depending on your location, you may have the right to request access, correction, deletion, restriction, portability, or objection to certain processing. You may also withdraw consent where processing relies on consent and lodge a complaint with your local data-protection authority.

You can update certain account information through the dashboard. For other requests, contact us using the method below. We may need to verify your identity and, when we process information on behalf of a customer, may direct the request to that customer.

Cookies and communications

You can manage cookies through browser controls, although disabling essential cookies may prevent sign-in or other features. You can opt out of non-essential marketing communications using the unsubscribe option provided in those messages.

07

International transfers

D Zone Digital supports global music businesses, so information may be processed in countries other than your own. Where required, we use appropriate safeguards for cross-border transfers, such as contractual protections or another legally recognized transfer mechanism.

Children's privacy

The Services are intended for business users and are not directed to children. We do not knowingly collect personal information directly from children without appropriate authorization. If you believe a child has provided information improperly, please contact us.

Changes to this Policy

We may update this Policy to reflect changes in our Services, practices, or legal requirements. We will post the revised version here and update the “Last updated” date. Material changes may also be communicated through the Services or account contact details.
